Privacy Policy
SOL FORM LLC, doing business as SOLFORM ("we," "us"), is responsible for the customer information we handle in operating our studio and website at solform.fit. This policy covers our website, communications, studio interactions, and SOLFORM booking/app services when enabled. Booking and app functions are being prepared with Mariana Tek; descriptions of those functions apply when you use them. This policy does not claim that every described feature is currently active.
1. Information we collect
- Contact and account information: name, email, phone, mailing address when needed, account identifiers, sign-in records, preferences, and age or birth date when needed for eligibility.
- Reservations and purchases: selected sessions and machines, appointments, waitlist activity, check-ins, attendance, credits, membership details, billing history, transaction identifiers, and payment status. Payment providers handle card credentials; we may receive limited details such as card brand and last four digits.
- Participation and support: signed waivers, emergency contacts, consent records, and information you provide in messages or directly to staff. If you voluntarily tell us about an injury or limitation, we use it for participation safety and accommodation. Please do not send unnecessary medical records or full payment-card numbers by email.
- Technical information: hosting and service providers may log IP addresses, browser/device information, request times, pages requested, and diagnostic or security events. Enabled booking services may use cookies or similar storage for sign-in, reservations, preferences, and security.
We receive information from you, your authorized representative, our booking/payment providers, and services you choose to use to book with us, such as ClassPass. If you supply an emergency contact's details, ensure you have permission to do so.
2. Why we use information
We use information to answer inquiries; establish accounts; schedule and deliver instruction; manage check-in, machines, waitlists, memberships, and payments; issue receipts and refunds; provide support and safety assistance; record agreements and communication preferences; prevent fraud; maintain and troubleshoot services; and comply with legal, accounting, and recordkeeping duties. We send promotions according to your choices and applicable consent requirements. We do not use injury or health-related disclosures for advertising.
3. Providers and disclosures
We disclose information only as appropriate for these purposes:
- Booking and studio management: Mariana Tek, part of Xplor, processes customer, reservation, membership, and waiver-related records when those services are enabled. Our instructions govern its service-provider work; its own notice applies to processing it undertakes independently. See Xplor's Privacy Notice.
- Payments: the payment processor identified at checkout processes payment data and may perform fraud checks. Where Stripe is used, see Stripe's Privacy Policy.
- Operations: hosting, business email, authorized messaging, technical support, and professional advisers receive information needed for their work. Access by staff and instructors is limited to their duties.
- Legal and safety: we may disclose information when required by law, for a valid legal request, to protect people and our legal rights, or to emergency responders when appropriate.
- Business changes: information may transfer as part of a merger, sale, or reorganization, subject to applicable legal protections and notice requirements.
- Your direction: we may share information when you request or authorize it.
We do not sell personal information or share it for cross-context behavioral advertising. Mobile numbers and text-message opt-in/consent records are not shared with third parties or affiliates for their independent marketing. Providers may process those records only to deliver authorized services and comply with law.
4. Cookies, external links, and app permissions
The current public informational website does not include advertising pixels or third-party analytics tags. Hosting logs can still record visits. Booking pages or an enabled app may use necessary authentication and security technologies. We will update this notice and provide any required choices before adding nonessential tracking. Browser controls can block or delete cookies, but blocking necessary storage may affect booking or sign-in.
Links to Instagram, ClassPass, app stores, or other external sites take you to services governed by their own policies. An ordinary external link does not give those services access to your SOLFORM account. Any future optional camera, photos, notification, location, or fitness-data permission must be requested through the applicable app/device controls with an explanation. This policy is not permission to collect precise location or connect to health-data platforms.
5. Email, SMS, and notification choices
You may receive confirmations, receipts, cancellation alerts, and waitlist updates related to your activity. Marketing choices are separate from booking and waiver acceptance. We obtain affirmative consent for promotional texts where required; a preselected box alone is not treated as that consent. Consent is not a condition of purchase. Message frequency varies and message/data rates may apply. Reply STOP to opt out of texts or HELP for help, or email us. Use the unsubscribe link for promotional email. Necessary non-marketing notices may continue through permitted channels. Turning off notifications does not itself cancel a reservation or membership.
6. Retention and security
We retain information for the time needed to provide services, manage your relationship, resolve disputes, and meet legal, financial, insurance, and safety obligations. Retention depends on the type of record and purpose; waiver and transaction records may need to remain after account closure. When no longer needed, records are deleted or de-identified, subject to backup deletion cycles and lawful retention requirements.
We use reasonable administrative and technical safeguards, including appropriate access restrictions and service-provider controls. No network, email, or storage system is guaranteed completely secure. Keep your account credentials confidential and report suspected unauthorized access promptly.
7. Access, correction, and account deletion
To request access to, correction of, or deletion of your information or booking/app account, email info@solform.fit with the subject "Privacy or account deletion request." Include your name and account email; do not include a password or full card number. You may request deletion even without access to the app. Use an in-app deletion option too if one is provided.
We will verify identity using proportionate information, coordinate with relevant providers, and respond within legally required periods. We may retain information required for legal compliance, transaction records, dispute resolution, security, or legal claims, and explain applicable exceptions. Deleting an account does not itself terminate a paid membership or erase amounts lawfully owed; request membership cancellation separately under your agreement. You retain any statutory cancellation rights. We do not charge or discriminate against you for exercising legally protected privacy rights.
Depending on where you live and which laws apply, you may have additional rights to receive a copy, restrict or object to processing, withdraw consent, appeal a decision, or complain to a regulator. Contact us to exercise an applicable right; we do not represent that every jurisdiction's privacy law applies to our business.
8. Children and international processing
Our online services are not directed to children under 13, and we do not knowingly collect their personal information through the website or app. If you believe a child under 13 has supplied information, contact us so we can investigate and take appropriate action. A guardian must contact the studio before arranging services for a minor; online account creation is not permission for minor participation.
SOLFORM operates in the United States. Our providers may process information in other countries where they operate, subject to applicable legal safeguards. Privacy laws may differ from those in your jurisdiction.
9. Updates and contact
We will post changes with an updated effective date and provide additional notice or obtain consent when required. This policy describes SOLFORM's handling of information and does not replace a provider's independent privacy notice. Contact us for privacy questions, requests, or an accessible copy.
